The FRES Work Requests data collection is a subset of the University Data Warehouse containing data from the Facilities and Real Estate Services (FRES) Facility Focus system. The Work Requests data collection contains current and historic information about facilities work order requests.

Tables are listed in alphabetical order. Select Table to obtain the explantion, common uses, primary keys, indexed data elements, and related tables for a table. Select Elements to obtain the definition, list of values, formats, and not null values for each data element in the table. Work Request header and phase data (status, attributes, dates) is refreshed twice daily, on Monday through Friday evenings and again at 1:30pm each day (Monday-Friday). Note that the data collection is unvailable during the update, and attempts to query during that time will yield "ORA-00942 table or view does not exist" errors. Phase detail cost and hours data is refreshed weekly, on Thursday evenings, coordinated with Facility Focus load to the General Ledger. Source of the Data
The data in the Data Warehouse that is accessible via the Business Objects FRES Work Request universe comes from the Facility Focus system. The universe also joins to related tables in the General Ledger and Space@Penn data collections.
Time Span Covered
The Data Warehouse stores current Faclities work request data, as well as historical information on FRES work requests. The data goes as far back as July 2008, and continues from that point. Note there may be incomplete information in the Warehouse for those work requests that were open in July 2009 at the time when the collection was implemented.
The FRES Work Requests collection is described in the FRES Work Requests diagram, which illustrates the architiecture of the associated BusinessObjects universe and identifies the join criteria between tables.
The FRES Work Requests diagram provides access to current information and historical information about Facilities work requests, in detail and in summary, along with related information. In most instances, you will use this diagram when querying the FRES Work Requests data collection. This diagram should be printed using landscape orientation.
The BusinessObjects Corporate Documents area provides access to pre-defined, prompt-driven reports that you can run to retrieve a standardized perspective on your data.
Open and Closed Work Requests: Uses the FRES Work Request universe to display header and phase information for open and closed Facilities and Real Estate Services (FRES) work requests - i.e., those with a status of 10-OPEN,70-CANCEL,80-WRK-CMP,or 90-CLOSED. The second tab displays the phase comments, as entered and maintained using the Facility Center application.
Open Work Request Aging: Contains two tabs presenting data from the FRES Work Request universe. The first tab, Aging Summary, totals counts of Work Request phases for all open (status less than 70-CANCEL) phases by category. Counts are grouped into days open buckets based on Phase Est Start Date relative to the report execution date. The second tab, Open Work Requests Detail, shows headers and phase information for the open items aggregated on the first tab.
Preventive Maintenance: Uses the FRES Work Request universe to display header and phase information for open and closed Facilities and Real Estate Services (FRES) preventive maintenance work requests - i.e., those with a status of 10-OPEN,70-CANCEL,80-WRK-CMP,or 90-CLOSED. All requests with an estimated phase start date within two weeks of the prompted date range are included.
School_Center Work Request Charge Detail: Uses the FRES Work Request universe to display charge detail information for open and closed Facilities and Real Estate Services (FRES) work requests based on prompted extract dates.
Work Request Cost Hour Summary: Uses the FRES Work Request universe to display cost and hour totals for open work request phases, by subledger (e.g., contract, labor, material). In addition, associated work request and phase header information are presented, as well as data about purchase orders related to the work requests.
Work Request Status History: Uses the FRES Work Request universe to display work request history over time. Phases are grouped under each work request, and highlighting in the various columns show how a record changed from the one prior. The last record will always show the current information for the work request.
Data training for this collection is offered on an ad hoc basis -- please contact Enterprise Information & Analytics for assistance with specific training questions. You can also refer to the table and element documentation for information and cautions about specific data.
In general, individuals should have access to the General Ledger data collection in order to obtain automatic access to the FRES Work Request data collection. If a user does not currently have General Ledger collection access, she or he must complete the FRES Work Requests Data Access eForm, and obtain supervisor and school access administrator (or senior business officer) approval.
Releasing Data Outside the University
The only two offices that may disclose FRES work request data outside the Facilities and Real Estate Servies, and Institutional Research & Analysis. If you do not work for those offices and you receive a request for data to be sent outside the University, refer the requester to Facilities and Real Estate Services.
Releasing Data Within the University
Within the University, asset data may be disclosed only if it is needed to do the business of the University, and only to those who need to know the information in order to do their jobs. If you are not sure whether to fulfill a request for this information, call the Property Management Group.
Query Results
If you save your query results in Excel, pdf, or any other local file type, you must see to it that any sensitive data stored on your peronal computer is safeguarded through physical security, access control software, or encryption. When a computer is left signed to an account, it is easy for someone to gain unauthorized access. Either sign off from your account before you leave your computer or restrict access by some other means (physical security or access control software).
