Curriculum Management Data Collection

The Curriculum Management data collection consists of infomation about proposals for changes to courses, how courses relate to degree requirements, and academic programs such as majors, concentrations, and minors.  Data in this collection come from CourseLeaf's CIM database, where proposals are introduced and must pass through a prescribed workflow of review and approval before they can be incorporated in the University's student information systems.  Curriculum Management is not the system of record about courses and programs -- it is the system of record about proposed changes to courses and programs, including the current status as well as the history of the proposed changes.

Note: in Fall of 2018, the School of Arts and Sciences participated in the initial Curriculum Management pilot.  Other schools will be adding their Curriculum Management data in 2019.

Tables are listed in alphabetical order. Select Table to obtain the explantion, common uses, primary keys, indexed data elements, and related tables for a table. Select Elements to obtain the definition, list of values, formats, and not null values for each data element in the table. A description of table and data element terminology is in the document What the Warehouse Contains.

The Curriculum Management collection is refreshed daily from Courseleaf's CIM database. The refresh happens at approximately 6:00 AM each day. The refresh consists of an extract from the vendor which is used to create staging tables, from which the CM_ data tables and views are created.  The entire process takes only a few minutes, and the data collection is never unavailable during the refresh. The "last_refresh_date" column in the CM_ tables will indicate the freshness of the data.

The BusinessObjects Corporate Documents area provides access to pre-defined, prompt-driven reports that you can run to retrieve a standardized perspective on your data

All reports can be found in Public Folders -> Curriculum Management and use the "Curriculum Management" universe. 

CM course proposal by status

This returns data from the CM_PROPOSAL and CM_COURSE_CURRENT_PROPOSAL tables.  There are no prompts in the query -- all filters are maintained in the report itself.  Each tab is filtered for a different type of status: 
The "ready" status tab displays courses proposals that are expected to synchronize to SRS the next time the sync job runs.  This does not include proposals for new courses; only updates to existing courses will sync to SRS.
The "send/error-on-send" tab displays a temporary status of course proposals that were sent but have not yet synched back to CIM, or courses that for some reason were unable to synch. 
The "in_progress" tab displays course proposals that are still in the work-flow.
The at rest tab displays courses proposals that are "complete" -- these are no longer in the work-flow, have been approved, and the student information system has been updated.

 

 

Data training for this collection is offered on an ad hoc basis -- please contact Enterprise Information & Analytics for assistance with specific training questions. You can also refer to the table and element documentation for information and cautions about specific data.

If you want access to the Curriculum Management data collection you must submit the Curriculum Management e-form, and have the request approved. The approval process involves the approval of the requestor's supervisor, and the data steward (the University Registrar).

Releasing Data Outside the University 
The only two offices that may disclose Curriculum Management data outside the University are the University Registrar and Institutional Research & Analysis. If you do not work for those offices and you receive a request for data to be sent outside the University, refer the requester to the University Registrar.

Releasing Data Within the University
Within the University, data may be disclosed only if it is needed to do the business of the University, and only to those who need to know the information in order to do their jobs. If you are not sure whether to fulfill a request for Curriculum Management data, contact the University Registrar.
