About Penn's Online Directory

Penn's Online Directory offers important, customized contact information for most faculty, staff, and students, along with robust privacy protections.

Who’s in the Directory — Active Penn students, faculty, and staff, and close affiliates such as UPHS (University of Pennsylvania Health System) employees, contractors, and consultants are included in the Directory.

Public and Penn Views — The Directory offers two views of information:

  • The Public View, available to anyone on the Internet
  • The Penn View, available only to authorized users — primarily Penn students, faculty, and staff — who must log in using their PennKey and password

Listings in the Penn View may contain information not displayed in the Public View.

Search — Directory Search has been designed to discourage bulk collection of email addresses for solicitation purposes. There are minimum requirements for what must be entered into search fields.

Sources of data — In recent years as Penn has adopted newer systems for HR (Workday) and Student Records (Pennant), it has become less necessary for individuals to enter data manually. Employees and students are encouraged to update their data in Workday and/or through Path@Penn, and let that data populate their Directory profiles.

Customization and Privacy — Many data fields are available in an individual’s Directory profile—the customizable set of information on which Directory listings are based. Some fields are pre-populated and can be edited or concealed; others appear blank and can be filled in voluntarily. Individuals are free to decide which information to display based on their personal privacy needs and the following requirements:

  • Students are not required to display any data in the Directory
  • Faculty and staff have minimum listing requirements designed to balance personal privacy needs with the University’s operational needs:
    • Public View: Name and affiliation
    • Penn View: Name, School or organization, affiliation, title, a campus mailing address, a campus phone number, and a campus email address

Faculty and staff who have a compelling privacy or security concern that warrants exclusion from the Directory may submit a request for consideration by the Office of Audit, Compliance, and Privacy. Send requests to privacy@pobox.upenn.edu.
