View Identity Data in Penn Community

The Identity Attributes tab is divided into three sections:

  • Identity Data
  • Sources
  • PennCard and Directory

Identity Data
 

  • The Identity data has a new concept of "Primary." Penn Community calculates a Primary Source, and uses the name from that source in this section. This is generally the version of the name propagated to downstream systems that receive data from the new Penn Community.
  • The full DOB is available *if needed* but it is only available when the user explicitly requests to see the full value. This action is audited each and every time it is used.
  • The last 4 of the SSN is available *if needed* but it is only available when the user explicitly requests to see the value. This action is audited each and every time it is used.
  • If the record has one or more PA-SSNs, they are displayed here.
  • The row labeled "Data Status" will generally be blank; if there is a comment in this row, it generally means that there is a data conflict or other data problem. If you need more information about this, you will need to send a work ticket to the Penn Community support team.

Sources

  • The sources section shows the source, status, name-from-source, description, and the last time Penn Community was updated from the source.
  • For the various sources, we are displaying different data:
    • Alumni: the DAR "affiliation code" (be prepared for change as we change alumni systems)
    • Manual Entry: the legacy affiliation code and the expiration date
    • Penn Employees: Penn job title and ORG from primary job, and original hire date
    • Penn Academic Affiliates: appointment title, corresponding ORG, effective date
    • Penn Student: Program code from Pennant (Division_Degree), Major, and Entry term
    • UPHS Employee: job description, ORG unit descriiption, process level description, and relationship to organization
  • Note about last update: this date shows the last time a data refresh was done against the source. If the dates are all this same date, this indicates that a full refresh of this identity was done, against all sources, usually in order to resolve data issues. When the dates are different, they are more likely to actually reflect the date that the data was refreshed from a specific source.

FAQs

Q. Where are the affiliations?
A. In the new Penn Community we are moving away from the concept of the "affiliation code" and focusing on the "source" of the record. The Sources section of the Identity Attributes will show you commonly used data elements from each source.

Q. Why isn't the full DOB available?
A. DOB is an identity attribute we are working to de-emphasize. There will be a way to see full DOB, if required, on subsequent screens.  

Q. Why is the Last Modified date the same for all sources?
A. Sometimes, in order to resolve an issue with an identity, we have to do a full refresh against all sources. When this happens, the Last Modified date will be the same for all sources.
