1. General Use
Zoom AI Companion is being made available for use to certain Penn users. If using Zoom AI Companion, users should ensure that their use is consistent with the University’s AI Guidance.
Attendees will need to have the latest updated version of Zoom in order for AI Companion to function properly for them and provide them notice of its use.
2. Notice of Use – Business Use
a. Zoom AI companion in meetings may be enabled by the meeting owner to, among other things, create a meeting summary. allow participants to ask questions about what has occurred in the meeting or seek information if they arrived late to the meeting.
b. It is the responsibility of the meeting owner to discuss with meeting attendees whether to enable or disable the AI Companion service at the outset of the meeting.
c. Once enabled at the start of the meeting, attendees are notified that the meeting is being transcribed for AI Companion.
d. Use of AI Companion should be in compliance with applicable University and School policies.
3. Notice of Use – Educational Use
a. Class Use with Limited (Class) Availability/Student Communications: In cases where Zoom AI Companion will be used in connection with classes or other student communications, Zoom AI Companion generated information should made accessible only to the students and instructors in the class. Students should be informed of the use of Zoom AI Companion in advance of its use such as in the syllabus where possible.
Zoom AI Companion information generated in connection with class use or other communications with students should not be disclosed to third parties unless they are school officials or academic administrators with a legitimate educational interest in such information.
b. Students: To facilitate access for all class members, certain class sessions, including your participation, may be summarized using Zoom AI Companion. This information and associated recording may be made available to the class, for the duration of the semester. The information generated by Zoom AI Companion is made available solely for your personal, educational use and may not be shared, copied or redistributed without the permission of Penn and the instructor. Note also that you are NOT allowed to record class sessions yourselves.
c. Faculty: Students are reminded that class recordings you have made and information generated by Zoom AI Companion may not be shared, copied or redistributed without the permission of Penn and the instructor. Additionally, students are reminded that they may not make their own recording of class sessions. Be aware, though, that unauthorized sharing of electronic communication and information can never be completely prevented.
d. Use of AI Companion should be in compliance with applicable University and School policies.
4. Accuracy
Zoom AI Companion-generated content (e.g., meeting or class discussion summaries) may be inaccurate or misleading. Users should always review the information for accuracy before relying on it in accordance with the University’s AI Guidance.
5. Restricted Use
a. Zoom AI Companion is not currently approved for meetings where HIPAA data/Protected Health Information, Social Security Numbers, or credit card data will be part of the meeting due to existing restrictions on recording and storage of such high-risk data within Zoom (see Video Conferencing Tools – Sharing Sensitive Data).
b. Zoom AI Companion should not be used in meetings involving non-student minors.
